DDR Collections Policy for Library Collections
Approved by the DDR Program Committee, December 14, 2016.
What types of materials?
Archival collections, digital surrogates of library holdings, and other digital collection materials acquired by the library.
Selected supplementary material related to library collections, such as descriptive or other metadata, transcriptions and/or other collection-derived data.
Collections, datasets collected by the library, and other items for which the library will provide long term stewardship
Vetting and Depositing
A limited number of library staff determined by Repository Program Committee (RPC) and library administration will evaluate ingests according to this policy and subject area collecting policies to avoid out of scope deposits. Especially large or complex projects may require the approval of the RPC; exact criteria to be determined.
Depositing Materials:
Exact details of the workflow to be determined, but RPC will attempt to utilize existing processes as much as possible.
Working with DUL departments, RPC will authorize specific staff with ingesting responsibilities.
Out of scope Materials
Non-collection materials are not to be deposited, for example departmental administrative records (other than those collected by the University Archives).
Collections licensed to the library on a short-term basis (exact criteria TBD).
Publications (including electronic theses and dissertations) and data produced by University faculty or students should be deposited in those areas of DDR.
Items that contain sensitive electronic information (SEI) should be deposited in the Protected Data Repository (PDR).
Other Expectations
Expectation that materials will be retained on a long term basis (exact definition of “long term” to be defined).
Library stewards all material per DUL standards, and establishes partner collection Memoranda of Understanding (MOUs) when needed.
- If materials are to be withdrawn, authorized persons will follow the DDR Deaccession and DMCA Takedown Policy and MOU directives when appropriate.
